NAME
Association of Pediatric Program Directors Coordinators Section

PURPOSE
The Association of Pediatric Program Directors Coordinators’ Section is dedicated to promoting and enhancing graduate medical education in the specialty of pediatrics. The Coordinators’ Section of APPD is established as an educational resource to foster the exchange of ideas and information for persons in the position of pediatric program coordinator.

GOALS AND OBJECTIVES
Enhance graduate medical education within each program and promote communication among coordinators, program directors, and the APPD membership.

MEMBERSHIP
The membership structure of APPD includes the Coordinator of each accredited residency program that is a dues paying member. Membership within the APPD is by Program, and the annual fee includes the Program Director, Department Chair, Associate Program Director, Chief Residents and Program Coordinator. Others within the program may join APPD for an additional charge.

FINANCES
The Coordinators Section may put forth a request for monetary resources each fall for the following year. A written request will include a description of the activity contemplated and any funds needed to help implement the project. This request will be submitted to either chair of the Coordinators Executive Committee for presentation at the Fall Board Meeting.

The Coordinators Section shall not seek independent funding from outside sources without prior consent of the APPD Board and Executive Director.

EXECUTIVE COMMITTEE OF COORDINATORS SECTION
Purpose: To provide leadership and guidance for the Coordinators’ Section, to plan projects and programs to enhance the Coordinators Section and APPD. The Executive Committee will report to the APPD Board.

STRUCTURE
Six elected members will comprise the Executive Committee of the Coordinators’ Section. These representatives will be elected by the Coordinators Section membership. A Coordinator must be nominated by a member of the APPD during the Fall call for nominations. Coordinator members of the APPD, will vote for two representatives each year. The elected coordinators will serve for a period of three years.

If for any reason a committee member cannot fulfill the elected term, a special election will take place. The committee person vacating their position will notify the Chairpersons of the Executive Committee, who in turn will notify the Executive Director and Board Representative that a vacancy will occur. Nomination for replacement will be submitted to the Executive Committee. An electronic ballot will be sent to all members of the Coordinators Section for vote. The turn around time for an off cycle election will be four weeks.

Duties and Responsibilities of the Coordinators’ Executive Committee Members:
  • Third Year of Service
    Executive Committee members who are beginning their third year of service at the time of the APPD Annual Spring meeting, will serve as Chairs of the Executive Committee for a period of one year. Third year members will be required to attend the APPD Board Meetings in the spring and fall of that year. A summary of Board Meetings in the spring and fall will be provided electronically to the Coordinators' Executive Committee members by the representatives to these Board Meetings.

    The Executive Committee members beginning their third year of service at the Annual Spring Meeting will also be responsible for coordination of the educational program for the Coordinators’ sessions at the APPD Annual Spring Meeting. Meeting content will be coordinated with the Executive Director and Board Advisor to the Executive Committee.

  • Second Year of Service
    Executive Committee members in their second year of service will coordinate (write) the coordinators section of the APPD newsletter. They will also be responsible for developing the program for the Coordinators’ sessions at the APPD Fall Meeting. Meeting content will be coordinated with the Executive Director and Board Advisor to the Executive Committee.
  • First Year of Service
    First year executive committee members will coordinate mentoring assignments and assist with planning of the Spring and Fall Meetings.
  • All Members
    All members of the Coordinators’ Executive Committee will serve as a
    Communications Committee to the Coordinators Section of the APPD. As the communications committee, they will be responsible for keeping the Coordinators Section abreast of new APPD developments and projects. This can be accomplished through newsletter articles or list serv announcements. The committee will involve the Board Advisor on all communication conveyed to the Coordinators Section.

The Coordinators Section may develop committees as necessary; make recommendations to the full APPD Board and provide information the Board may need relative to the Coordinators’ section; and plan, develop and suggest enhancements for the Coordinators’ Executive Committee and APPD. All members will also welcome new coordinators and APPD members, participate in monthly conference calls and distribute minutes of the calls (rotating assignment); vote in tandem with the APPD President and Executive Director for the Carol Berkowitz Award for Lifetime of Advocacy and Leadership in Pediatric Medical Education, and review and vote on all coordinator Scholarship awards with the APPD President and Executive Director.

COMMITTEES
Rationale:The purpose of each committee is to enhance the overall value of membership in APPD. Committees are an opportunity for member involvement, provide opportunities to identify and serve the overall purposes of the section and APPD.

Overview of Guidelines and Structure
The APPD President, Executive Director and Board Advisor shall be ex-officio members of all sections and committees, without vote, unless either or both are designated members of that section or committee. The Board of the APPD shall receive semi-annual reports on the activities of each committee. The committee chairperson, which is selected by the Executive Committee, will report to the Coordinators Executive Committee at the semi annual meetings of the APPD or to the Executive Committee Chairpersons if for any reason they are unable to attend semi annual meetings. The committee chairperson will also have the option of asking a member of their committee to report in their absence. The Coordinators Executive Committee will develop and recommend Committees, their responsibilities, subject to APPD Board approval. The Executive Committee will be responsible for selecting each committee chair. Committees within the Coordinators Section will be considered ad-hoc and will be established to deal with a specific task or issue. The committee may disband once its work is completed. The life of an ad-hoc committee can range from several days to several years depending on the nature of the issue or project with which it is dealing. An example of an ad-hoc committee is the Handbook Committee.
  • Fall Planning Chairs
    Duties: Plan the Coordinator Sessions at the Fall Meeting
  • Membership Chair
    Duties: To make certain all pediatric residency programs accredited by the ACGME are members of APPD and to develop programs and initiatives to increase membership. This committee will also be in charge of the Coordinators Mentoring Program.
  • 2003 Spring Meeting Chairs
    Duties: Plan the coordinators’ sessions of the Spring Meeting.
  • Handbook Committee (ad-hoc) - Solicit ideas and materials to enhance a Handbook designed for the Pediatric Residency Program Coordinators and to provide electronic updates as needed.
Committees Established 2001
Professional Development Series Committee

Develop self study pediatric residency informational modules. Each module will provide an overview of a certain aspect of the pediatric residency program. The purpose is to build and enhance knowledge about pediatric residency programs. Program Coordinators will receive recognition for the completion of a series of Modules.

Research Committee
Contact other specialty residency programs in your area to gather the following information:
  • Determine if the program has a Program Coordinators section at their national meetings.
  • If yes, gather details about the Coordinators Section.
  • What can we learn from them?
  • How can we help them?

Program Coordinators as Supervisors Committee
Create a forum where Program Coordinators as supervisors can meet yearly to discuss and share their experiences. Also, open to Program Coordinators who are not supervisors, but are interested in learning about supervision.

Technology Committee
Gather information on technology programs used in other Pediatric Residency Programs in order to:
  • Create a list of available technology programs
  • Indicate what the technology is used for critique the software, giving pluses and minuses
  • Distribute to Coordinator Members of the APPD and
  • Provide suggestions to the APPD on technology workshops
